Survey Work Terms and Conditions
Effective Date: 29 June 2026
1. Introduction
These Survey Work Terms and Conditions govern the provision of surveying services by Bellspire Ltd (company registered in England and Wales). By instructing Bellspire Ltd to carry out a survey, you agree to these terms. Please read them carefully before proceeding.
2. Scope of Work
All work will be carried out strictly in accordance with HSG 264, current legislation and relevant HSE Guidance Notes.
Quotation includes the following:
- Our attendance on site, travel to site, congestion charge and ULEZ charges
- The taking of unlimited samples
- Analysis of samples at a UKAS accredited laboratory
- Providing a full comprehensive report including management plan and detailed floor plans in PDF format
- Ongoing support from our team of fully trained staff
Our quotation is based upon works being undertaken during one continual site visit, unless otherwise stated.
Any additional works or services not included in the original quotation will be agreed in writing before being carried out.
3. Decorations and Damage (Refurbishment and Demolition Surveys)
Whilst every effort is taken to take samples discretely and with minimal damage to surfaces, it is necessary during refurbishment and demolition surveys to cause damage in order to undertake fully intrusive surveys. Where required, Bellspire Limited will make good damage and ensure areas are left clean and safe.
4. Site Facilities
We would ask that parking is available for our company van at the time of works. If residents/parking permits are required, we ask that the client arranges this prior to works commencing.
Bellspire Ltd accepts no responsibility for any parking fines or charges incurred where adequate parking was not made available by the client.
5. Working Hours
Monday to Friday, 9am to 5pm.
Where works are required outside of these hours, this must be agreed in writing prior to the survey date and may incur an additional charge.
6. Site Restrictions
We ask that where possible, the areas being surveyed are unoccupied.
Where occupied areas cannot be vacated, Bellspire Ltd reserves the right to reschedule the survey to a more suitable time.
7. Cancellation Policy
Cancellations must be made with a minimum of 24 hours notice prior to the scheduled survey date. Cancellations made with less than 24 hours notice may incur the full survey cost. Cancellations must be made by email to info@bellspire.co.uk or by phone on 0300 373 5873. Bellspire Ltd will confirm all cancellations in writing.
8. Aborted Visits
In the event of an aborted visit, due to no fault of Bellspire Limited, we reserve the right to charge for the full survey cost including travelling time.
9. Documentation and Reports
On completion of the works, once payment has been received in full, the survey report will be emailed to the client. Until payment is received, the report will remain the property of Bellspire Limited.
All survey reports, findings, photographs and documentation produced by Bellspire Ltd remain the intellectual property of Bellspire Ltd until full payment has been received. Following full payment, the client is granted a licence to use the report for the purposes for which it was commissioned.
10. VAT
All prices exclude VAT which will be charged on invoices at the applicable rate.
11. Invoice Payments and Late Payment
All invoices must be cleared by the due date shown. Failure to do so will result in an additional late payment charge being made at 15% of the total invoice value.
Until invoices are cleared in full, any reports remain the property of Bellspire Limited and will not be released.
Bellspire Ltd reserves the right to charge statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998 in addition to any late payment charge specified above.
12. Limitation of Liability
Bellspire Ltd's total liability to the client in respect of any claim arising out of the provision of services under these terms shall not exceed the total fees paid for the specific survey giving rise to the claim. Bellspire Ltd shall not be liable for any indirect, consequential or economic losses arising from reliance on survey findings.
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
13. Complaints Procedure
If you are dissatisfied with any aspect of our service, please contact us at info@bellspire.co.uk. We aim to acknowledge all complaints within 2 working days and resolve them within 14 working days.
14. Governing Law
These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Changes to These Terms
Bellspire Ltd reserves the right to update these terms and conditions at any time. The effective date at the top of this page reflects the most recent version. Continued use of our services following any update constitutes acceptance of the revised terms.
